Terms of Service

1. Acceptance of Terms
By accessing or using CredPilot (available at getcredpilot.com) or the CredPilot Chrome extension, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the service.
These Terms constitute a legally binding agreement between you and CredPilot Technologies LLC ("CredPilot," "we," "us," or "our").
2. Description of Service
CredPilot is a credentialing workflow platform that allows healthcare billing specialists, credentialing coordinators, and healthcare administrators to:
- Store and manage provider credential profiles
- Use AI to autofill credentialing PDFs and web forms
- Track credential expiration dates
- Autofill browser-based credentialing portals via the Chrome extension
- Export provider data as JSON or Excel
3. Eligibility
You must be at least 18 years old and have the legal authority to enter into these Terms on behalf of yourself or your organization. By using CredPilot, you represent that you meet these requirements.
4. Account Registration
You must sign in with a Google account to use CredPilot. You are responsible for maintaining the confidentiality of your account and for all activity that occurs under your account. You agree to notify us immediately at [email protected] if you suspect unauthorized access to your account.
5. Subscription Plans and Free Trial
CredPilot offers paid subscription plans (Solo, Growth, Practice) and a 7-day free trial for new accounts. No credit card is required to start the free trial.
After the free trial period ends, access to paid features will be restricted until you subscribe to a paid plan. Your provider data is retained and will be accessible again if you subscribe.
Subscription fees are billed monthly. Prices are displayed on the pricing page and may change with 30 days' notice to existing subscribers.
6. Refund Policy
We offer a 7-day money-back guarantee on your first paid subscription month. If you are not satisfied within the first 7 days of your paid subscription, contact us at [email protected] and we will issue a full refund.
After the first 7 days of a paid subscription, subscription fees are non-refundable. Cancellation takes effect at the end of the current billing period — you retain access until then.
7. Cancellation
You may cancel your subscription at any time from the Account Settings page. Cancellation takes effect at the end of the current billing period. You will not be charged for subsequent periods after cancellation.
8. Acceptable Use
You agree not to:
- Use CredPilot for any unlawful purpose or in violation of any applicable law or regulation
- Enter false, fraudulent, or misleading provider credential information
- Attempt to gain unauthorized access to other users' accounts or data
- Reverse engineer, decompile, or attempt to extract the source code of CredPilot
- Use CredPilot to submit fraudulent credentialing applications
- Resell, sublicense, or redistribute access to CredPilot without our written consent
9. Your Data and Content
You retain ownership of all provider credential data and documents you upload to CredPilot. By using CredPilot, you grant us a limited license to store, process, and use your data solely to provide the service to you.
You are responsible for ensuring that the credential data you enter is accurate and that you have the authority to enter it on behalf of the providers you manage.
10. AI-Generated Output
CredPilot uses AI to assist with PDF field mapping, data extraction from documents, and form autofill. AI-generated output may contain errors. You are solely responsible for reviewing all AI-generated content before submitting any credentialing application or form. CredPilot does not guarantee the accuracy of AI-generated field mappings or extracted data.
11. Disclaimer of Warranties
CredPilot is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that AI-generated content will be accurate or complete.
12. Limitation of Liability
To the maximum extent permitted by applicable law, CredPilot Technologies LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of revenue, loss of data, or costs of substitute services, arising out of or related to your use of CredPilot, even if we have been advised of the possibility of such damages.
Our total liability to you for any claims arising from these Terms or your use of CredPilot shall not exceed the amount you paid to us in the 12 months preceding the claim.
13. Indemnification
You agree to indemnify and hold harmless CredPilot Technologies LLC and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising out of your use of CredPilot, your violation of these Terms, or your violation of any applicable law.
14. Termination
We reserve the right to suspend or terminate your account at any time for violation of these Terms, fraudulent activity, or for any other reason at our discretion, with or without notice. Upon termination, your access to the service will cease. We will retain your data for 30 days after termination before deletion, unless you request earlier deletion.
15. Governing Law
These Terms are governed by the laws of the State of Utah, United States, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Utah.
16. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will update the "Last Updated" date and notify you by email. Continued use of CredPilot after changes constitutes acceptance of the updated Terms.
